A+

Re: Treffen 2017
Hi Gavin, Paul, Marcus, Kiwi & Rebecca,
>
>We assume that you are already heavily waiting for this email. Unfortunately
we did run a bit in delay but finally we want to update you regarding the
progress about the Meeting 2017.
>
>Most important is obviously the date. Therefore this was already confirmed in
October and also published in the forums (23 - 25 June 2017)
>
>We evaluated different locations, including the one proposed be Marcus but we
finally ended up with a shortlist of two that are our favorites and both did
block the dates for us.
>
>The biggest issue is the following: As you can imagine Luxembourg is not the
cheapest place in Europe. Its a bit like Switzerland and we can do nothing
about it. Some of you made it clear to us that one fraction of the Riders
prefer to go back to the basics and keep the budget limited while we noticed
that there are also guys who prefer to have some luxury instead of spending the
Weekend in a tent in the rain. Remember that Luxembourg is not Tuscany and the
weather in June could potentially be unpredictable.
>
>We thought the best is to keep drinks out of the budget and build packages
with multiple transparent options. Everybody would pay the drinks he consumes.
There is always an option to buy drinks individually in a supermarket. If we
include the wine like in Tuscany then we would certainly explode the budget.
>
>This gave us some hard time to find the perfect place but we think we are now
able to discuss the two best places with you. Both are biker friendly and gave
us the impression that the Elefants are highly welcome.
>
>Option one is a place in the north and is called Fuussekaul: http://www.
fuussekaul.lu/
>
>Pros: A very quiet place, it is huge so it will be easy to isolate the
Elefants from everybody else, a hall that would be available in case of rain,
we might be able to organize the beer separately which could make it a bit
cheaper. There is a (Nudist only) swimming pool. The north has endless valleys
with great roads for bikes and is close to Belgium.
>Cons: It's a bit the end of the world and not necessarily typical for
Luxembourg . There is no real village and we might be a bit lost there.
>
>Option two is called Birkelt in Larrochette: http://www.camping.
lu/fr/campings/iris-parc-birkelt-larochette
>
>Pros: The location is gorgeous. It is in the middle of a region that is
called "Petite Suisse". The camping is on top of a beautiful middle age village
and on the opposite site of an old castel. The town has a nice square with
plenty of pubs hotels and restaurants. Nice small bike roads lead from this
central location through forests to the South: Mosel (river) and French
boarder; East: Sauer (river) and German boarder; West: Luxembourg city ; the
North with the endless valleys and the Belgium boarder. Finally we think that
the food might be better. There is a team of people included in the package
that serve drinks and food. There is a regular swimming pool (in and outdoor)
as well.
>Cons: The place is smaller and we might have more contact with other Tourist.
We have to buy the beer from them. If it starts raining there are enough
professional tents with gas heatings for the BBQ and the show but it is not a
stone based building.
>
>As mentioned, pricing is not cheap but more or less the same for both places.
>
>The food budget including 2x breakfast and 2x dinner is about 55 Euro per
person and should be more than sufficient but doesn't include the drinks.
>
>A tent or caravan place for two person and two nights is about 35 Euros
>A rental bungalow is about 105 Euros for two persons and two nights plus 40
Euro cleaning
>Towels are 5 Euros and bed linen are 8 Euros
>
>All prices are indicative as we get the final pricing when we commit to a
number of people.
>
>The last point is about the rides. Luxembourg is beautiful for motorbike
riding on roads but there is an issue with the off-road part. 50 Elefants
riding through the forest like in Tuscany would certainly end up in newspapers
and potentially in jail. There is a professional cross track in the north if
enough people would be interested in such an option but it will not be cheap as
we would need an insurance and so on. We are working with some local guys on
alternatives on the Belgium border. So don't worry, we will organize something.
>
>We look forward to your feedback and have now as target to come up with the
public announcement until the end of the year. There will be a dedicated Luxy
website but we will of course rely on cagivaelefant.com for the inscription
process.
>
>To get a final offer, we would like to get your opinion about the number of
people we could engage for. We expect, like in any event, late payers and short
notice cancelations. Therefore, it would be great if you tell us from your
experience how to finance the event. Finally we would love to know what you
think about the idea of making the pricing transparent and build packages where
you can get T-Shirts, food and camping separately and exclude the drinks. By
that we are not able to make it cheaper but we can lower the entrance fee and
give the cost control to the people. Gadgets, maps and badges are not included
so far and we count on your experience to identify other additional costs. Any
help and input is welcome.
